What paper really costs

Do you know how much money and time paper permits are wasting on your site?

Most sites only count paper and printing. That is about 1% of the cost. The rest is people's time: walking for signatures, checking forms and crews waiting. A site with 50 permits a day loses about SAR 2.6 million a year.

Approvals

From raised to approved in minutes, not hours.

Each approver is notified the moment a permit reaches their stage, on the phone or the web.

1 · Receiver

Raises the permit

From the phone, at the work point, with crew, tools and RAMS.

2 · Issuer

Checks and approves

Reviews the work and the area, approves or returns it with comments.

3 · Safety

Gives final sign-off

Confirms the controls are in place, from site or office.

4 · Crew

Work starts

The crew crosses the gate, on record.

The receiver signs a declaration on every permit.

Before submission, the receiver completes the permit type's checklist, attaches evidence and accepts a declaration of responsibility. It is recorded with name and time.

Prevention, not reporting

Expired never reaches the job.

Every operator and every asset carries its certificates. When one expires, the system takes it off the permit before anyone can pick it.

  • Certificates by role and asset. Each profession and asset type lists what it must hold.
  • Warned 30 days ahead. Renew before the expiry date, not after the incident.
  • Hidden or graced. Block non-compliant items, or allow a grace period you set.

Control and SIMOPS

Control at every stage. Every overlap in sight.

A permit is not finished when it is approved. OPTIMUM PTW controls its whole life and shows what else is running nearby.

  • Suspend with a written reason; restart only on approval.
  • Extend with a new end time and a reason, approved in the system.
  • Close with notes confirming the site is clean and safe.
  • Linked permits, permits by location and a calendar for planned work.

Audit trail

What you can't prove, you can't defend.

In an audit or an investigation, a permit's full story takes minutes to find, not days.

  • Every step named and time-stamped, from raised to closed
  • Permit Log filters by type, status, people, location and date
  • Export to Excel or PDF, or print any permit form
  • Evidence kept with the permit: photos, RAMS, certificates, declaration

FAQ

Questions about digital permit to work

What is a permit to work (PTW) system?

A permit to work system controls high-risk jobs such as hot work, confined space entry, excavation and working at height. It records who may do the work, where, when and under which controls, and who approved it. OPTIMUM PTW does this digitally, from raising the permit to closing it.

Can OPTIMUM PTW use our own permit templates and approval chain?

Yes. We configure each permit type with your own checklist, required roles such as fire watcher or confined space attendant, and your approval stages, so every contractor works to the same standard.

How does it stop expired equipment or uncertified operators reaching a job?

Each profession and asset type lists the certificates it must hold. When a certificate expires, the person or asset becomes non-compliant and is hidden from permit selection, or allowed only during a grace period you set. Certificates expiring within 30 days are flagged in advance.

Does it help with simultaneous operations (SIMOPS)?

Yes. Permits can be linked, for example hot work inside a confined space, and every location shows its live permits, so the issuer sees what else is running in an area before approving another permit. A calendar shows planned work by day.

Can we use it on site, on a phone?

Yes. Receivers and approvers use the mobile app on site; managers and HSE teams use the web dashboard in the office. Both work on the same live data.

Is the system available in Arabic?

Yes. OPTIMUM PTW supports Arabic and English.

What records are available for audits and investigations?

Every permit keeps its full history: each status change with name and time, the checklist answers, evidence photos, RAMS, certificates and the receiver's signed declaration. The Permit Log filters by type, status, people, location and date and exports to Excel or PDF.

How do we get started?

Book a 30-minute demo. We show the system on your own permit types and agree the steps to go live: configure, load your people and equipment, train your teams, pilot on one site, then scale.
